Set up your company

You start by configuring the basics: locations, departments, job titles, pay schedules, and time-off policies. NumaTrack comes pre-loaded with Canadian defaults — provincial overtime rules, statutory holiday calendars, CPP/EI rates — so you're adjusting to fit your business, not building from scratch.

By the end of this step, your company structure is in the system and ready to support everything that follows.

Add your team

Invite employees by email. They complete a guided onboarding flow on their own — personal details, tax forms (TD1), emergency contacts, direct deposit, and document uploads. Everything lands in a structured employee profile.

No paper forms. No data entry on your end. When onboarding is complete, the employee is set up for time tracking, scheduling, and payroll — without being added to each one separately.

Track time and time off

Employees clock in and out from their phone or desktop. GPS captures location. Breaks are tracked. Hours accumulate on a weekly timesheet that employees submit and managers approve.

Time-off requests are submitted through the same app. Accruals, balances, approvals, and blackout periods are handled by the rules you set during setup. Managers see who's working, who's off, and what's pending — without switching tools.

Approved timesheets and time off carry forward into payroll automatically.

Build and share schedules

Create shifts, assign employees, and publish the schedule — all from one view. Shift templates and schedule copying save time for recurring patterns. Employees submit availability through the app, and conflict detection flags double bookings, unavailable times, and time-off overlaps before you publish.

Employees see their schedule on their phone. When they clock in, hours are logged against the scheduled shift — so scheduled and actual time are tracked together.

Run payroll

When it's time to run payroll, the data is already there. Regular hours, overtime, project hours, approved time off, and vacation pay are pre-populated from the modules you've already been using.

CPP, EI, provincial taxes, and statutory holiday pay calculate automatically. Review the numbers, confirm, and run. Pay stubs generate with year-to-date tracking. Employees access them from the app. Direct deposit handles the rest.

Stay compliant without the scramble

ROEs generate automatically when you terminate an employee. T4s and T4As are produced at year-end from the same data you've been running payroll with all year. CRA remittances are automated.

You don't have to assemble compliance from multiple tools or remember filing deadlines. The system handles it as part of the normal workflow.
